Terms and Conditions

Please review these Terms and Conditions carefully. By using the Camp Australia Outside School Hours Care Service, Before and After School Care or Vacation Care (referred to as the “Service/s”) you agree to be bound by these Terms and Conditions. If you do not accept any of the terms or conditions, or do not wish to give your permission or authorisation where applicable, please contact Customer Care on 1300 105 343 or oshc@campaustralia.com.au, they are available 24 hours a day, seven days a week.

References in these Terms and Conditions to ‘Camp Australia’, ‘we’ or ‘us’ means Camp Australia Pty Ltd ABN 96 060 703 120 and related entities.

References to ‘I’, ‘my’ and ‘you’ are to the parent/s / guardian/s who completed the registration form.

GENERAL TERMS AND CONDITIONS OF ATTENDANCE AT ALL CAMP AUSTRALIA SERVICES

1. All Terms and Conditions set out in the “General Terms and Conditions of Attendance at All Camp Australia Services” apply for all Services supplied by Camp Australia.

2. I confirm that I have requested Camp Australia to enrol my child for the Services as recorded in the registration form.

3. I confirm that I am the parent / legal guardian of the registered child, and all information supplied for the registered child (including medical information, contact persons and persons authorised to collect the child) is accurate and complete in all respects, and will be updated as and when required.

4. I give permission for my child to participate in all program activities, for those days the child is registered. I acknowledge that activities may include watching G rated videos/movies.

5. I authorise Camp Australia staff, in the event of accident or illness, to obtain all necessary medical assistance and treatment for my child (including ambulance transportation) and agree to meet any expenses for such medical assistance and treatment.

6. I confirm that full details for any existing health matter and/or medication for the child have been given to Camp Australia, and I will update that information where required.

7. I authorise Camp Australia staff to take suitable photographs / videos of my child engaging with the Service, which may be used for the purpose of providing marketing material for the Services and for the School community. Photographs / videos may be used for (but not limited to) the Camp Australia education and care program materials, reflection journal, internal school communications and School newsletters. Photographs / videos may also be used for Camp Australia website content and for external service marketing purposes. I understand that photographs / videos will not be used for biometric matching or identification. If I do not authorise Camp Australia staff to take suitable photographs / videos of my child, I will notify Camp Australia.

8. I acknowledge that my child will not attend the Service if suffering from an infectious or communicable disease as identified by the Department of Health.

9. I agree to have the child signed in and/or out on the appropriate documentation on arrival and departure each day they attend, and to notify Camp Australia if the child is absent on a day that they are booked in within the supplied window as outlined in my level of Membership.

10. I acknowledge and agree that except as may be expressly required by law, Camp Australia does not accept any liability for personal injury, property damage or loss sustained by any child as a result of his or her participation at the Service due to any cause whatsoever unless caused by the proven negligence of Camp Australia, its Directors or employees.

11. I authorise Camp Australia staff to apply sunscreen to my child

12. I understand that Camp Australia has policies for standards of behaviour. If my child does not meet those standards or otherwise demonstrates inappropriate behaviour after guidance procedures have been followed, Camp Australia reserves the right to suspend my child’s enrolment for a notified period, or exclude my child permanently from the Service.

13. I understand that a late pick up charge of $15.00 per 15 minutes or part thereof, per child, applies if the child is collected after the Services advertised finishing time.

14. I understand that Camp Australia will charge for their services in a cyclical manner consisting of 4 weeks. Weeks 1 and 2 will be the statement period and will consist of two weeks’ worth of usage. Weeks 3 and 4 will be the billing period whereby on the Monday of week 3 I will receive my statement for the statement period, and on the Thursday of week 4 payment will be due for the statement period.

15. All Camp Australia accounts must be paid by the due date for payment via Direct Debit from a Bank Account or Credit Card.

16. I acknowledge that if my child is subject to exclusion from the Service, Camp Australia may disclose my child’s name and reasons for the exclusion to persons in control of the School at which the Service is operated.

17. The information I have provided is true and correct, and I have provided Centrelink with the same information.

18. I am responsible for communicating with, and providing relevant information to Centrelink.

19. I understand that if any details are incorrect then full fees are payable by me for use of the Service until the details are corrected by Centrelink.

20. All accounts must be paid by the due date for payment as set out in the statement (standard payment terms are 14 and 15) I understand that an Overdue Account Fee of $20.00 will be applied for each billing period my account remains unpaid.

21. I understand that a Failed Transaction Fee of $25.00 will be applied for each rejected or failed Direct Debit transaction in a billing period.

22. I understand that Camp Australia will charge an annual Membership fee on registration of my account. An annual membership fee is payable for each 12 months’ registration and will continue to apply until I advise Camp Australia that my account is no longer required.

23. I understand that a $2.00 Statement Printing Fee (for printing and postal charges) will apply where I request that a printed statement be mailed to me.

24. I acknowledge that Camp Australia may require fees payable in accordance with these Terms and Conditions be paid to CAIP Pty Limited.

25. Camp Australia reserves the right to amend any of the Terms and Conditions from time to time, and will notify all account holders of any amendments. Amendments will be effective from the date notified. You may cancel your account without penalty if you do not accept any material amendment to the Terms and Conditions. Cancellation will be effective from the date that you notify us.

I acknowledge that in order for Camp Australia to provide the Services, it is necessary for me to provide personal information. Camp Australia takes privacy seriously. We will at all times collect, store, use and disclose your personal information in accordance with the Privacy Act 1988 (Cth), the Australian Privacy Principles and our Privacy Policy. TERMS AND CONDITIONS SPECIFIC TO BEFORE AND AFTER SCHOOL CARE

26. All terms and conditions set out in the “General Terms and Conditions of Attendance at All Camp Australia Services” apply in addition to the specific terms set out in this section.

27. I agree that my child will be booked into the Service once a booking is made either by myself on the Parent Portal or by the Customer Care Team upon my request to them.

28. I agree that an existing booking will be successfully cancelled only when I cancel it on the Parent Portal or when the Customer Care Team cancels it upon my request to them.

29. I agree to pay all charges for all days that my child is booked in for the Service, and not cancelled within the Cancellation Window required by my membership level, regardless of whether my child actually attends.

30. I understand that if my account is not paid in full by the due date, my child’s enrolment and booked sessions may be suspended or terminated , and my child may be subject to exclusion from the Service.

TERMS AND CONDITIONS SPECIFIC TO VACATION CARE

31. All terms and conditions set out in the “General Terms and Conditions of Attendance at All Camp Australia Services” apply in addition to the specific terms set out in this section.

32. I understand that minimum enrolment numbers are required to run each Holiday Club. In the event a Service is cancelled, Camp Australia will notify me by phone. A full refund of any fees paid for the cancelled Service will be made. I understand that Camp Australia will not be liable to make any other payment to me in this event.

33. I understand that Services are subject to cancellation or alteration on short-notice in the event of unsuitable weather conditions or other factors which may arise that are beyond Camp Australia’s control. A full refund of any fees paid for the cancelled Services will be made. I understand that Camp Australia will not be liable to make any other payment to me in this event.

34. I give permission for my children to leave the school premises to participate in external activities as indicated in Service program.

35. Any changes or cancellations to bookings must be made at least 7 days prior to the first day of the service. Any cancellations or changes to bookings made with less than 7 days’ notice before the commencement date or during the Service period will result in the full fee being charged. In addition, any cancellations or changes made within 7 days or less of the Service commencement date, will incur a late booking fee of $10.00 per booking.

36. Children with additional needs must be booked into a Service more than 2 weeks in advance to ensure funding and additional staffing needs can be met. Children with additional needs (ISS) not booked within the relevant time period may not be able to use the nominated Service.

TERMS AND CONDITIONS SPECIFIC TO FLEX-E-CARE E-CARD

37. All terms and conditions set out in the “General Terms and Conditions of Attendance at All Camp Australia Services” apply in addition to the specific terms set out in this section.

38. I understand that Flex-e-care e-cards, hereafter referred to as e-cards, must be purchased via the Parent Portal or by contacting the Customer Care Team, and the specific School, Child and Care Type (Before School Care or After School Care) must be declared.

39. I understand that all information recorded to my e-card, such as the number of sessions used, the number of sessions available and expiry of my e-card is available on the Parent Portal.

40. All e-cards have an expiry date, 90 days from purchase. I am aware that e-cards are valid for 10 sessions only and any sessions not used before the expiry of the e-card will also expire and cannot be used.

41. I understand that e-cards may not be used for a child or Service other than the child and Service declared at the time of purchase.

42. I acknowledge that an e-card cannot be used for a different care type other than the one that was declared at the time of purchase, unless the alternate session fee is of equal or lesser value.

43. I acknowledge that e-cards can only be used for bookings that are made via the Parent Portal or by contacting the Customer Care Team, at least 2 hours from the start of the desired session.

44. I am aware that bookings made using an e-card cannot be cancelled.

45. I understand that e-cards will be charged at the full rate with any government rebates I am eligible for being applied to my account as a credit at the time of usage.

46. I am aware that credits applied to my account may not be cashed in, unless such credits result in my entire account balance being in credit.

TERMS AND CONDITIONS FOR ALL BOOKING OPTIONS

47. All terms and conditions set out in the “General Terms and Conditions of Attendance at All Camp Australia Services” apply in addition to the specific terms set out in this section.

48. The Membership level will determine which booking options are available and accessible to the account holder.

49. Blue Membership holders will be able to access Low-flex bookings and Casual bookings only. A $25.00 annual membership fee will apply.

50. Silver Membership holders will be able to access Standard-flex bookings and Casual bookings only. A $50.00 annual membership fee applies.

51. Gold Membership holders will be able to access High-flex bookings and Casual bookings only. A $100.00 annual membership fee applies.

52. All membership fees are non-refundable.

53. A ‘no-show’ is when a child is absent from the Service with no notice despite being booked to attend. An additional $20 Safety Surcharge will be payable as well as full fees for that booking type will apply.

54. A ‘Walk in’ is when a child arrives at a Service with no prior notice of any kind. An additional $20 Safety Surcharge will be payable as well as full fees for that booking type will apply.

55. Membership levels cannot be downgraded during the membership year and may only be downgraded at the anniversary of the account.

56. Membership levels can be upgraded during the year, with the difference in membership fee being payable at the time of upgrade. This date will become the new anniversary of the account.

TERMS AND CONDITIONS SPECIFIC TO LOW-FLEX BOOKINGS

57. All terms and conditions set out in the “General Terms and Conditions of Attendance at All Camp Australia Services” and “Terms and Conditions for All Booking Options” apply in addition to the specific terms set out in this section.

58. The minimum number of bookings is equal to the equivalent of 1 booking per week for the remainder of the academic year pro rata. The minimum number of bookings must be made all at once and prior to the commencement of the first booking.

59. The minimum number of bookings must be met for each School, Child and Care Type (Before School Care or After School Care).

60. All bookings made that do not meet the minimum booking requirement will be classified as casual bookings, not Low-flex bookings and will incur the increased fee.

61. Bookings must be made no less than 48 hours prior to the start of the session, otherwise they will be classified as a casual booking, not a Low-flex booking.

62. Low-flex bookings can only be cancelled with charge and must be cancelled 7 days prior to the session to avoid the additional no-show Saftey Surcharge of $20.

TERMS AND CONDITIONS SPECIFIC TO STANDARD-FLEX BOOKINGS

63. All terms and conditions set out in the “General Terms and Conditions of Attendance at All Camp Australia Services” and “Terms and Conditions for All Membership Levels” apply in addition to the specific terms set out in this section.

64. The minimum number of bookings is equal to the equivalent of 1 booking per week for the remainder of the academic year pro rata. The minimum number of bookings must be made all at once and prior to the commencement of the first booking.

65. The minimum number of bookings must be met for each School, Child and Care Type (Before School Care or After School Care).

66. All bookings made that do not meet the minimum booking requirement will be classified as casual bookings, not Standard-flex bookings and will incur the increased fee.

67. Bookings must be made no less than 48 hours prior to the session.

68. Bookings must be cancelled with no less than 7 days’ notice. Cancellations cannot be made if it will cause the number of bookings made to fall below the minimum booking requirement (equivalent of 1 booking per week for the remainder of the school year pro rata).

69. If a booking is not cancelled within 7 days and the child does not attend the service, an additional no-show Safety Surcharge of $20.00 will be incurred.

TERMS AND CONDITIONS SPECIFIC TO HIGH-FLEX BOOKINGS

70. All terms and conditions set out in the “General Terms and Conditions of Attendance at All Camp Australia Services” and “Terms and Conditions for All Membership Levels” apply in addition to the specific terms set out in this section.

71. The minimum number of bookings is equal to the equivalent of 1 booking per week for the remainder of the academic year pro rata. The minimum number of bookings must be made all at once and prior to the commencement of the first booking.

72. The minimum number of bookings must be met for each School, Child and Care Type (Before School Care or After School Care).

73. All bookings made that do not meet the minimum booking requirement will be classified as casual bookings, not High-flex bookings and will incur the increased fee.

74. Bookings must be made no less than 2 hours prior to the session.

75. Bookings must be cancelled with no less than 2 hours’ notice. Cancellations cannot be made if it will cause the number of bookings made to fall below the minimum booking requirement (equivalent of 1 booking per week for the remainder of the school year pro rata).

76. If a booking is not cancelled and the child does not attend the service, an additional no-show Safety Surcharge of $20.00 will be incurred.

TERMS AND CONDITIONS SPECIFIC TO CASUAL BOOKINGS

77. All terms and conditions set out in the “General Terms and Conditions of Attendance at All Camp Australia Services” and “Terms and Conditions for All Booking Options” apply in addition to the specific terms set out in this section.

78. Any booking that does not meet the minimum booking requirement for the booking options will be classified as a Casual Booking.

79. Casual Bookings must be cancelled with no less than 7 days’ notice.

80. Bookings made within the 24-48 hour window (Excluding Gold Memberships and Flex-e-Care) prior to the session starting time will be classified as a Casual Booking and will incur an additional Late Booking Fee of $10.00.

81. Bookings made within the 0-24 hour window (Excluding Gold Memberships and Flex-e-Care) prior to the session starting will be classified as a Casual Booking and will incur an additional late booking fee of $15.00.
